Track123 is a global logistics tracking platform serving cross-border e-commerce brands, logistics and warehousing providers, cross-border payment companies, and system service providers. It offers tracking number lookup, shipment tracking, branded Tracking Pages, Estimated Delivery Date (EDD), logistics data dashboards, and API integration. This Privacy Policy explains how we process your personal information in different scenarios, so that you can clearly and concisely understand how we collect, use, and protect your personal information.
When you enable relevant features or use relevant services, or based on enterprise users' management needs, we will collect information necessary to provide those features and services or to meet enterprise management requirements. Unless required to deliver product functionality, mandated by laws and regulations, or necessary for enterprise user management, you may refuse to provide such information without affecting your use of other features or services.
This Privacy Policy does not apply to services provided to you by third parties. Before choosing to use any third-party service, you should fully understand its product features and privacy policy before deciding whether to use the relevant features or services.
In addition to this Privacy Policy, in specific scenarios we may also inform you of the purposes, scope, and methods of information collection through real-time notices (including pop-ups and in-page prompts) and feature update announcements. These real-time notices and feature update announcements form part of this Privacy Policy and carry the same legal effect.
The sections below will help you understand in detail how we collect, use, store, transfer (where applicable), and protect your personal information, as well as how to access, copy, delete, correct, and withdraw consent regarding your personal information. This policy is closely related to your use of our services; we recommend that you read and understand it in full and make choices you deem appropriate. Definitions
Enterprise User: An organization that registers for, logs into, or uses Track123 products or services and obtains administrative privileges, including but not limited to cross-border e-commerce brands, logistics and warehousing providers, cross-border payment companies, system service providers, and other legal or unincorporated organizations. Enterprise Users can create sub-accounts on the Track123 platform, build work teams, and invite Authorized Users to join their teams.
Authorized User: A natural person authorized or invited by an Enterprise User to join the organizational structure built by that Enterprise User within the Service, and who uses the Service (typically an employee of the Enterprise User). Among them, a natural person designated by the Enterprise User to configure the Service and exercise backend administrative privileges on its behalf is called an Administrator User . Administrator Users may invite other Authorized Users to use the Service.
Visitor: A natural person who enters a tracking number on a branded Tracking Page deployed by an Enterprise User to check parcel logistics status — typically an online shopper or buyer.
Enterprise Contact: A contact person of an Enterprise User's supplier or other partner company, such as a logistics integration contact or technical support contact.
End Individual: A data subject whose personal information is involved in orders submitted by Enterprise Users via API or entered into the backend while using the Service — for example, a buyer placing an order on an e-commerce platform, or a recipient named in an order.
Collectively, "you" refers to Authorized Users who directly register for and use the platform services, and to Administrator Users of Enterprise Users. For the protection of the rights of Visitors and End Individuals, please refer to the relevant provisions of this policy.

How We Collect and Use Your Personal Information
To provide services to you and Enterprise Users, optimize our services, and safeguard account security, Track123 collects information that you actively provide, authorize, or generate through your use of the services during registration and use, as follows:
1.1 Account Registration and Management
When you register an account on the Track123 platform, you need to provide us with the email address or mobile phone number used to open the account, and a login password. You may also voluntarily link third-party accounts such as a Google account. After registration, you can log in to the platform using your email, phone number, or third-party account together with your password or verification code.
If you are an Administrator User authorized by an Enterprise User, you may register platform sub-accounts for other Authorized Users and manage their permissions. To assist Administrator Users in creating sub-accounts, Administrator Users need to provide email addresses to send invitation links. When Enterprise Users and Administrator Users use this feature to authorize us to collect employees' personal information, they should ensure that the employees' informed consent has been obtained.
1.2 Account Profile Completion
If you wish to complete your account profile, you may voluntarily upload additional personal information via the platform, including linking third-party accounts and entering contact information and contact details.
1.3 API Integration and Logistics Data Synchronization
As a global logistics tracking platform, Track123 enables Enterprise Users to sync their tracking numbers and related order data to Track123 via API, in order to deliver core features such as tracking number lookup, shipment tracking, real-time webhook notifications, Estimated Delivery Date (EDD), and logistics data dashboards. With your authorization and consent, we receive data submitted by Enterprise Users through official API interfaces, in which the tracking number is mandatory ; optional fields may include order number, customer email, destination postal code, destination country, last digits of the recipient's phone number, and remarks.
Meanwhile, to complete shipment tracking queries, we send the tracking numbers and necessary query information submitted by Enterprise Users to the corresponding carriers' systems to obtain tracking data, and we display the tracking results (including tracking number, shipment status, tracking events, transit time, delivery time, etc.) on the platform or push them in real time via webhook to the Enterprise User's designated receiving endpoint. Webhook payloads do not contain recipients' personal information.
The above data may contain personal information of End Individuals (such as customer email, last digits of the recipient's phone number, etc.), which we will process and protect in accordance with this Privacy Policy.
1.4 Branded Tracking Page
Enterprise Users may deploy the branded Tracking Page provided by Track123 on their independent websites or e-commerce platforms. Visitors can check parcel logistics status by entering a tracking number on the Tracking Page without registering an account, and the Tracking Page does not collect Visitors' email addresses. We collect the tracking numbers submitted by Visitors and the query timestamps for the purposes of displaying tracking information, providing EDD, and ensuring query security.
If an Enterprise User has integrated its e-commerce platform (e.g., Shopline) with Track123, we may use the email addresses obtained through the e-commerce platform's order API to send shipment tracking update email notifications to recipients via a third-party email service provider (Mailgun). The product recommendation module on the Tracking Page is provided by the e-commerce platform's API and only applies to orders synced from the integrated e-commerce platform. We do not build personalized profiles of Visitors, nor do we share related data with third-party marketing service providers.
1.5 Subscription Purchase and Transaction Management
Our products and services are billed on a subscription basis. To provide subscription management services, we record information such as your subscription plan, subscription period, and renewal status. We support payment via Alipay or credit card; credit card payment processing is provided by Stripe, and payment information is processed by the corresponding payment institution. We only receive payment results and subscription status notifications.
1.6 After-Sales and Customer Support
When you contact customer support through the platform for assistance, our after-sales staff will provide consultation and technical support regarding your product issues. To facilitate communication with you, resolve your issues as quickly as possible, and record the solutions and outcomes of related issues, we may collect necessary account information and retain records of your communications with customer support.
1.7 Marketing
You may freely choose whether to participate in marketing activities we organize. If you choose to participate, depending on the activity's needs, you may be asked to provide information such as your name and contact details. For example, surveys you complete when participating in our online events may include your name, phone number, email address, and similar information.
1.8 Operations and Secure Service Delivery
To ensure the secure operation of our software and services, and the quality and efficiency of our operations, we collect your IP address, operation logs (username, operation time, operation location, operation content), device information, and access records. These logs are used solely for security auditing, troubleshooting, and service optimization, and are not used for profiling End Individuals or for automated decision-making.
In addition, we provide an intelligent AI-based tracking normalization feature that automatically identifies carriers and normalizes shipment statuses based on tracking numbers and tracking data. This is a core platform feature; its processing results are used solely to display standardized shipment statuses to Enterprise Users, and do not involve automated decision-making that would significantly affect the personal rights of you or End Individuals.
1.9 Exceptions to Obtaining Authorized Consent
Please understand that, under the following circumstances, in accordance with laws, regulations, and national standards, we may collect and use your personal information without your authorized consent:
a. Necessary for the conclusion or performance of a contract to which you are a party;
b. Necessary for the performance of statutory duties or legal obligations;
c. Directly related to national security or national defense security;
d. Directly related to criminal investigation, prosecution, trial, or enforcement of judgments;
e. Personal information that you have disclosed to the public on your own;
f. Personal information collected from lawfully publicly disclosed information, such as legitimate news reports or government information disclosure channels;
g. Necessary to maintain the secure and stable operation of software and related services, such as detecting and resolving malfunctions of software and related services;
h. Other circumstances provided for by laws and administrative regulations.
1.10 Other Uses
1.10.1 If the information you provide contains personal information of other individuals, you must ensure that you have obtained lawful authorization before providing such personal information to us.
1.10.2 To provide you with better services, we will update the features and services of the online platform from time to time. In principle, when a new feature or service is related to the features or services we currently provide, the personal information collected and used will have a direct or reasonable connection with the original processing purposes. In scenarios where there is no direct or reasonable connection with the original processing purposes, we will separately inform you of the collection and use of your personal information through reasonable means such as in-page notices, interactive flows, or agreement confirmations, and obtain your consent, in accordance with legal requirements.
1.11 User Services We Provide as an Entrusted Processor of Personal Information
We assist Authorized Users in processing the following personal information in accordance with Enterprise Users' instructions and our agreements with Enterprise Users:
1.11.1 If you are an Authorized User, in the course of your use of the Service, in addition to information collected by the system and submitted by you, Enterprise Users and Administrator Users will provide us with personal information necessary to enable you to use the Service more conveniently and to deliver its features — including Authorized Users' email addresses, phone numbers, roles, and permissions — and Enterprise Users and Administrator Users will update this information from time to time as circumstances require. During your use of the account, the system also automatically collects the sub-account creation time and last login time.
1.11.2 According to the representations and warranties of Enterprise Users, before Enterprise Users and Administrator Users provide us with your personal information described above, they have obtained your explicit authorization in advance and have fully informed you of the purposes, scope, and methods of collecting and using your personal information. If you cannot confirm the above, we recommend that you immediately stop accessing or using the Service and verify the foregoing with the Enterprise User and Administrator User. You may also contact us through the contact methods provided in this Privacy Policy, and we will cooperate with you in handling related matters within the scope of our capabilities.
1.11.3 When Authorized Users use the Service, they may manage and maintain End Individuals' order and logistics data. We obtain order and logistics information from the e-commerce platforms, ERPs, or logistics systems that Authorized Users integrate via API, for purposes such as tracking number lookup, shipment tracking, webhook notifications, EDD calculation, and logistics data dashboards. This includes tracking number (mandatory), order number, customer email, destination postal code, destination country, last digits of the recipient's phone number, remarks, and shipment tracking status. As the controller of the End Individuals' personal information contained in the information it collects and processes, the Authorized User shall ensure that its collection and processing activities have obtained the data subjects' informed consent or have another lawful basis compliant with applicable laws (including but not limited to statutory circumstances such as necessity for the conclusion or performance of a contract), and shall be responsible for the legality and compliance of such processing activities. As an entrusted processor, we process the relevant information only in accordance with the Authorized User's instructions and the agreement between the parties, and do not use it for any purpose beyond the agreed purposes.
1.11.4 When Authorized Users use the Service, they may manage and maintain Enterprise Contact information, typically including logistics integration contacts, technical support contacts, and the like. We collect Enterprise Contact information uploaded by Authorized Users or obtain such information from third-party systems, including the Enterprise Contact's name, phone number, address, email address, etc.
1.11.5 When Authorized Users fill in Enterprise Contacts' personal information, they shall ensure that the data subjects' informed consent (including separate consent, where required) or another lawful basis compliant with applicable laws has been obtained.
1.11.6 For personal information collected when we provide services as an entrusted processor, in principle the Enterprise User is responsible for informing you of the purposes, methods, and scope of personal information collection and use. If you have questions about the relevant content or wish to assert related personal information rights, you acknowledge and understand that you may contact the Enterprise User or Administrator User for resolution. Please note in particular: if information cannot, alone or in combination with other information, identify you as an individual, it does not constitute your personal information in the legal sense. When your information can, alone or in combination with other information, identify you as an individual, or when we combine data that cannot be linked to any specific individual with your other personal information, such information will be treated and protected as your personal information in accordance with this Privacy Policy during the period of combined use.
How We Share, Transfer, and Publicly Disclose Your Personal Information
Sharing
We do not share your personal information with other organizations or individuals, except in the following circumstances:
With your separate consent: We will share your personal information with other parties after obtaining your separate consent.
Legal requirements: We may share your personal information externally in accordance with laws and regulations, for litigation or arbitration resolution needs, or as required by administrative or judicial authorities in accordance with the law.
Carrier queries: To complete shipment tracking queries, we send the tracking numbers and necessary query information submitted by Enterprise Users to the corresponding carriers' systems. Such sharing is necessary for Enterprise Users' use of the Service; carriers process the relevant information in accordance with their own privacy policies.
Webhook delivery: As instructed by Enterprise Users, we push tracking data (excluding recipients' personal information) via webhook to the Enterprise User's designated receiving endpoints. Please note that such receiving endpoints are not selected by us, and we ourselves do not provide your personal information to third parties in this process. In such cases, we will exercise reasonable due diligence and require that data be transmitted via encrypted transmission.
Third-party service providers: To deliver product features and ensure the secure and stable operation of the application, we integrate services provided by third parties, including cloud services, CDN, monitoring, error tracking, SMS services, email services (e.g., Mailgun), customer support systems (e.g., Intercom), and payment processing services (e.g., Stripe). We transmit necessary information to and from third parties via interfaces and require them to adopt security protection measures for your personal information.
Transfer
We do not transfer your personal information to any company, organization, or individual, except in the following circumstances:
Transfer with explicit consent: After obtaining your explicit consent, we will transfer your personal information to other parties;
Mergers and similar events: In the event of a merger, division, dissolution, acquisition, or declaration of bankruptcy involving a transfer of personal information, we will inform you of the name and contact information of the recipient of your personal information and require the new company or organization holding your personal information to continue to be bound by this Privacy Policy; otherwise, we will require that company, organization, or individual to re-obtain your authorized consent.

Storage Location and Retention Period
In accordance with laws and regulations, personal information collected and generated within the territory of the People's Republic of China will be stored within China.
Unless a longer retention period is required or permitted by law, we will retain information collected from or about you only for the minimum period necessary to achieve the purposes described in this Privacy Policy. A Track123 account requires an email address and password to log in. Please protect your email and password, and never disclose them to third parties.

In accordance with laws and regulations, during your use of the product, to enable you to more conveniently access, copy, correct, supplement, and delete your personal information, and to request our explanation of personal information processing rules, we have provided corresponding operational settings in the product design, which you can operate yourself within the product.
For information submitted by Visitors when querying logistics status via branded Tracking Pages: if you wish to exercise personal information rights such as access, correction, or deletion, you may contact the Enterprise User that deployed the Tracking Page (i.e., the e-commerce brand you purchased from), or contact us through the contact methods provided in this Privacy Policy.
In addition, to optimize your experience, we may adjust these operational settings from time to time. If an Enterprise User administrator has configured settings such that members cannot modify or supplement information themselves, please contact the corresponding Enterprise User administrator for such changes. If you have any questions about the methods and channels for exercising these rights, or if the above channels cannot fulfill your personal information management needs, you may contact us through the methods disclosed in Section 9 of this Privacy Policy.
Minors
Our products and services are intended for enterprises and related organizations. Minors under the age of 18 should not create or use Track123 accounts on their own. If you are a minor, please read this policy in the company of your guardian, and use our products and services with your guardian's consent and guidance.
How We Use Cookies and Similar Technologies
7.1 We use Cookies and other similar technologies to enhance your experience of the Service. When you use the Service, we may use such technologies to send one or more Cookies or anonymous identifiers to your device to collect and store information about your access to and use of the Service. We promise not to use Cookies for any purpose other than those described in this Privacy Policy. We use Cookies and similar technologies primarily to deliver the following functions or services:
